Summer’s on its way and I am in desperate need of a new cap. For the most part, New Era, is pretty much the only game in town. They are the brand that started the official on-field cap and now worn by every MLB team. They also make official caps for just about every major sports team, college team as well as bespoke hats to your order. DISCLAIMER: this starts out ugly, but turns out beautiful

The obvious element when buying any clothing or accessory is first and foremost size/fit. Not aware of my cap size, I cruised through their site looking for a sizing chart.

I looked and looked. And looked. And looked.

Either I was really missing something or really missing something. I thought there could be no way an apparel seller would not have a size chart on their site. Enter LivePerson customer chat.

Here’s the chat transcript:

info: Thank you for visiting us! An operator will be with you shortly.
info: You are now chatting with ‘A******h’
A******h: Welcome to our live chat service. What can I do for you today?
Joshua Kitlas: i need help with cap sizing
Joshua Kitlas: i can’t find it on your site
A******h: Do you have the style number for the item that you are inquiring about?
Joshua Kitlas: i need to determine my size first
Joshua Kitlas: that is what I am trying to figure out
Joshua Kitlas: there is no size chart
A******h: Please hold one moment while I find the information that you are looking for.
A******h: To measure your head, take a measuring tape and place it around the circumference of the head, slightly above the ears. Visit our FAQs for our Hat size chart!
Joshua Kitlas: there is no size chart in the FAQs
Joshua Kitlas: can you send me a link
Joshua Kitlas: are you even there?
A******h: One moment
A******h: Sorry that is all the information I have available
Joshua Kitlas: really?
Joshua Kitlas: that is ridiculous
A******h: Is there anything else I can do for you today?
Joshua Kitlas: how can you expect someone to determine their size?
info: Your chat transcript will be sent to josh@kitlas.com at the end of your chat.
Joshua Kitlas: no that is it
A******h: We can’t see you have have to already know your size.
A******h: You are welcome
A******h: Thank you for visiting and have a great day!
info: Thank you for chatting with us! Join our email mailing list and receive great updates on products, sales, and more!

I was in disbelief. Did a customer service person on an apparel website not have the sizing chart, but tell me I have to ‘know’ my size?

Duh.

Though I was not to the point of boiling blood, I was pretty frustrated. Aren’t sellers of anything supposed to make it easier to buy?

I shoot off an email to New Era telling them how lame this is and how lame their customer service people are.

I, almost immediately, get a response apologizing, thanking me for bringing this to their attendion, and the promise of a gift card for my troubles.

Wow!

New Era Gift Card

I then get another email asking if they can place my order, gratis. Done.

The NEXT day, I get a gift card with a HANDWRITTEN note. Who does that anymore? Apparently New Era.

I also get a follow up email checking that I got the gift card (VERY generous by the way) and that everything was ok.

I’m totally impressed and a fan for life.

Felt good writing a positive comment, so double bonus for good vibes.

We got talking about what we had on our lists and when the subject of meat arose I mentioned the outstanding experience I had at Liehs & Steigerwald in Syracuse. I went to the cloud to show her the site but it was blocked by the Wegmans network. I switched over to my AT&T network and, sure enough, was able to access their site. Interesting. I’ve exchanged it TWICE already (soon to be a third – they want me to mail it in ‘for review’).

Dear Apple Computer, Inc. – I’m still a fan of yours but I really don’t have another computing choice. I’ve invested practically any computing time I’ve had control over with you. It’s been about 18 years now. What happened? Was it the iPhone? The Intel chip? Things haven’t been as good as they used to be. I remember when you worked without a hitch.

Now I’ve had to turn my backup over to Mozy. Which is equally lame. I think it backs up my stuff but I never get any confirmation that its been completed. I contacted customer service and it took them over a week to get back to me only to tell me to ‘upgrade and/or reinstall’. Whatever. Now I get this. I’m ready to go back to painting on cave walls.

However, it’s been a rather very hard past couple months. I’ve been on a yo-yo between Syracuse University’s Office of Financial Aid and Scholarship Programs and Direct Loans, studentloans.gov, the U.S. Department of Education, Common Origination and Disbursement (COD) School Relations Center, etc. trying to finalize a loan so I could go pursue my MLIS at the The School of Information Studies at Syracuse University (iSchool).

It has been quite an arduous and, at times, upsetting experience. Long story short, there were many emails, letters, phone calls and faxes and an ongoing finger pointing exercise between Financial Aid and the various government organizations listed above.

Drove me BONKERS and was hanging over my head for MONTHS.

I kept pretty detailed notes on emails, phone calls, faxes and letters as well as promised timelines and the names of involved parties. During this frustrating period my vengeful side kept saying, ‘When everything gets worked out, unleash this beast of negative exposure and get people in trouble.’ I opted against that and literally got rid of all non-essential documents and records related to the loan. It felt good to purge those feelings and memories.

I’ve had to keep a lot of this under wraps at work for obvious reasons but FINALLY this Monday I got that giving notice thing at work taken care of. Next? Update Facebook. Done. Update LinkedIn. Done…Work…….YES…finally done. I was originally hoping to give work notice at least 2 weeks earlier but due to the delays with the aforementioned Financial Aid, I couldn’t do it until this week. I was really hoping to be in Syracuse at the beginning of August, then go out to LA for Emily and Nick’s wedding, then return to Syracuse, but I just couldn’t leave my employer high and dry. I’ve worked there too long and have to much respect for the organization to do otherwise. Gotta finish strong and transition appropriately.

So essentially it’s all over now. On to the next chapter in life. Gave my notice at work on Monday. In other news, I just watched The Girl With the Dragon Tattoo (Man som hatar kvinnor). Great movie. Haven’t read the book.

This time was nothing but stress and annoyance for me. Unfortunately there still are some issues but I’m fairly optimistic things will work out. I’ll write more later, but now I have another note of administrative disconnect/mismanagement.

I get an email from SU Housing with the Subject header: ‘Reminder – you have not yet submiitted your required ID Card photo!’

What’s funny/curious/lame is that this is the FIRST contact they’ve made regarding this matter. Whats also interesting is that they’re advising that I should submit my ID card photo after activating my SU email. This is the first I’ve been notified of that and have no record of how to proceed on that. I contacted the IT help dept.

Based on my experiences so far, I have a funny feeling that this latest slew of activities will be far from the last.

And I thought Halloween was finished until next year. WRONG!

Globat.com (web hosting company), the parent company of Domains Are Free (domain name reseller), are the folks who sold me the kitlas.com domain. Great deal too – $21.97 for THREE years. Far better than the prices GoDaddy or NetworkSolutions were charging. However, on November 6, 2008 at 2:02:32 PM EST I get an auto-generated mass marketing email from them saying they sent me an “e-mail with our brand new, exclusive TeraByte Ultra(tm) package upgrade”. I looked through all emails (which I only delete after 6 months) and there was no email from them.

Then on November 13, 2008 at 11:50:03 AM EST with Subject: Important: Automatic upgrade for kitlas.com I get another email from them saying, “Congratulations ! As per our previous notices, today we have upgraded your hosting account for www.kitlas.com to our all new Terabyte Pro™ level and processed your invoice 3998591 in the amount of $39.95 through your credit card account on file”. Automatic upgrade? Whoa. I call them immediately and have this phantom order of theirs cancelled. They cancel it immediately, nice, and send me confirmation, nice as well, that they’ve cancelled the order.

I go back and re-read the emails from them and notice that in the initial mass marketing email, deep into it (3 paragraphs) there’s a link to cancel the order. Clearly I didn’t get that far or there would never have been the issue.

Now, I found that practice to be very sketchy – charging the customer for a product/service they did not choose THEN sending an unwanted email to a customer telling them that they have purchased the product.

Anyone else think this is lame?

VIPCG (full disclosure, I work worked for the firm) is a management consulting firm with offices in New York and Lagos, Nigeria, that, in addition to in house corporate engagements, also runs a variety of Leadership workshops around the world.

On June 4th, begins this 5 month tale of terrible customer service, awful quality assurance, and what has sadly become the norm/standard for company /client relations. A bright spot was that I had half-work/half-vacation freedom and was conducting most of my business at Bidonville Coffee and Tea – a lovely, cozy coffee shop in Fort Greene, Brooklyn. If anyone is interested, I’ve included just about all the emails below. Though I understand that phone calls typically push things along, I often revert to email to have a record.

This is a really long post. If you don’t have the time or desire to read this, the moral of the story is to never ever under any circumstances use National Pen Company for anything. They’re an inefficient and terribly managed organization with absolutely no regard for it’s prospects (this may perhaps be true for customers as well but we never made it that far). Be aware or don’t deal with National Pen Company. They are a ripoff shady organization.

Thursday, June 4, 2008 In preparation of a week-long Leadership Development seminar being offered in New York, I went about ordering some promotional items from National Pen. I called them up, got to speak with Natl Pen Employee Name REMOVED, we went over the order details and agreed we’d talk the following day.

Thursday, June 5, 2008 The next day we exchanged emails, detailing both the order (50 count Composition Notebook with Quasar Pen, and 25 count Intrigue Briefcase) and submit our in-house artwork that was to be used for the Notebook with Quasar Pens, and Intrigue Briefcases and shipping information. I also said I needed to see “need to see complete invoice with delivery info”.

Friday, June 6, 2008 My rep at pens.com, sends me an email containing our account number and our order numbers and advises that when he receives the artwork back from his artwork back from his art department, he will send the approval to me and then call to make sure that I got it. He will also include payment information with the artwork. In a later email he asks for billing address info. I send it to him. I also ask about turnaround time.

Friday, June 6, 2008 (things begin to get funny) They’ve now had the artwork for a full day. I imagine they should be ready to show it to me. I ask. His response “it should be later today or Monday” and adds that “it should take about 15 business days for you to receive” the finished goods. This is a little longer than I’d like. Especially since on their website it clearly says that total turnaround time form production to delivery is 9 days.I ask if there is anything to shrink production time. Don’t hear anything back. Also ask if notebook and pen will be imprinted with the artwork. Hear nothing.

Saturday and Sunday, June 7-8, 2008 A lovely weekend in Brooklyn. Hang out. Go to Church. Awesome.

Monday June 9, 2008 Get an email with Purchase Order for the Composition Notebook with Quasar Pen side of the order but not the Intrigue Briefcase. Still nothing about shortening lead time. I ask again about the notebook and pen:

and Just want to be clear that there will b an imprint on BOTH the pen and the notebook cover….is not clearly indicated here. Please confirm this for me.

His response:

To print on the pens there will be an extra charge of $30 for the pen setup .27 cents for a running charge per piece This would add $43.50 to the subtotal.

I would (wrongly) assume that: 1 – I shouldn’t have to ask this as I believe most people (normal or not) would agree that when you go to buy an imprinted product that has 2 parts, both parts would get imprinted. Anyway, I ask him to forward an updated sales order acknowledgment and artwork proof for the pens to me to OK. Since its been nothing but crickets on the Intrigue Briefcase artwork I inquire about that. Crickets.

Tuesday, June 10, 2008 Getting annoyed. Nothing about the briefcase. Nothing about speeding up delivery time. Day Four of this ordeal and though I should have probably given up and selected a new vendor at this point, I figured that I’d already invested so much time and that National Pen would be able to turn it around once we finalized things.

I get an email from my rep:

Please look over this and make sure that everything is correct, If it is just forward the email back with your approval or sign all pages and fax back to 888-672-7004 attn: Josh. I am unable to release this without your approval. It is recommended to print all pdf files if supplied to view your artwork at actual size. 100% is actual size, anything bigger is blown up to show detail.

I respond:

OK The Quantum pen and notebook has my approval only if the logo is to be printed in white. I thought we discussed this earlier and am surprised to see it in black. Please advise and revert.

Clear enough. Right? Just answer my question then we finalize. (wrong, again)

I get another email regarding the Intrigue Briefcase. Still nothing about speeding up the process. Nothing about the logo issue with the Quantum Pen (above). The artwork for the Intrigue Briefcase is just terrible. My response:

This is terrible.

1 – The logo is very messed up
2 – Not in color w/ the gradients etc. I was told this could be done in color.

I’ve reattached the artwork. Kindly re-submit soonest.

Thanks

Josh

Pulling my hair out at this point. Make some calls to the rep. Crickets. Nothing about speeding up the process. Now he tells me there is ANOTHER cost. See below:

We can do this in color but there are 2 extra screen charges of 49.00 each
and two sets of running charges of .53 cents each

My response:

please update the Sales Order Acknowledgment to reflect the additional charges and submit updated artwork based on the file I forwarded earlier. I have attached it again.

Still nothing about speeding up the process. More hair comes out. Then, another email from the rep. Again no returned call. He says:

I am sorry Forgot to put this the listed below on the approval.
NEED IN HANDS: ASAP
PRODUCT COLOR: BLUE
IMPRINT COLOR: WHITE

I was also having issue with him getting the mailing address wrong. He’s sending me incomplete sales order slips.

OK please first update the sales order acknowledgement to reflect what you forgot to put in and forward to me also the shipping address should not include my name and read as follows:

Lame. Still nothing about the Quantum artwork.

Wednesday, June 11, 2008 Finally get artwork. Terrible. Am now almost a full week into the order process! Unbelievable. Everything is a mess and we’re now running into time where the items won’t be ready for the leadership program, I pull the plug. Cancel the order. He /they just could not seem to get anything right. I think everything is fine (other than the fact that I wasted nearly a week and that we won’t have these items for the Leadership Program).

The Leadership Program runs. I have a lovely summer in the city. Go about my business. Start exercising again. Do some outdoor grilling. Check in with my Parents. Have some drinks. Work. Summer turns into fall. Then things change…

On August 12, 2008 at 4:28:18 PM EDT I begin to receive a series of harassing, collections notices claiming VIPCG owes National Pen $326.24. You have to be kidding me. I cancelled the order months ago, the office never received anything. Unbelievable.

Now begins a ONE MONTH email and phone battle with Natl Pen Employee Name REMOVED – Natl Pen Employee Email REMOVED@pens.com – regarding this phantom order. They were harassing me so much, and it was so time consuming, that our company President chose to, uncharacteristically, send them a check for $326.24 just to be done with the whole thing. They continued trying to collect AFTER we received the canceled check! Then they start harassing us for an additional $101.27! Crazy! This went on for another couple weeks finally ending on November 7 when a Manager from National Pen named Mike called me to say they’ve waived the additional $101.27.(FYI – I’ve elected to NOT include the email exchanges on this as this post is way too long as it is anyway

This was one of the most frustrating dealings with a vendor I’ve ever had. It’s my suggestion to never use this company for anything.

——————————————————

Hi Josh,

To print on the pens there will be an extra charge of
$30 for the pen setup
.27 cents for a running charge per piece
This would add $43.50 to the subtotal.
